Announcing indiAccounting 1.5: File Your Payroll Taxes, Improved Bank Reconciliation, and Easier Mid-Year Switching

indiAccounting 1.5 is our biggest release yet, and it’s aimed squarely at the parts of running a business that used to send you back to a spreadsheet or an accountant’s office: getting your federal payroll taxes filed, tying your books to the bank, and moving to indiAccounting without waiting for January 1st.

Here’s what’s new.

Fill the real IRS and SSA forms — not just a summary

indiAccounting now fills the actual government PDF forms with your numbers, field by field, ready for you to review, sign, and file:

  • Form 941 (quarterly), 940 (FUTA), 943 (agricultural), and 944 (smallest employers)
  • W-2 Copy A and the W-3 transmittal
  • 1099-NEC and the 1096 transmittal

No more transcribing totals onto a blank form by hand. You pull the figures straight from the payroll you already ran, review each line, and file.

Form 941, done properly — including Part 2

Set your federal deposit schedule once in Settings, and indiAccounting completes Part 2 for you. Monthly depositors get the month-by-month breakdown on line 16, calculated from your actual paychecks so it always totals exactly to your quarterly tax — the tie the IRS looks for. And if you haven’t told us your schedule yet, we leave line 16 blank rather than guessing, so nothing wrong ever prints.

File your W-2s electronically

Generate the SSA’s EFW2 electronic wage file for upload through Business Services Online, with employee Social Security numbers stored encrypted on your machine. If you’re at or over the federal 10-return e-file threshold (W-2s and 1099s combined), indiAccounting tells you — and reminds you to set up your SSA account early, since those activation codes come by mail.

Switch to indiAccounting any time — your W-2s come out whole

Changing payroll systems mid-year used to mean messy, split-year W-2s. Not anymore. Enter your previous system’s year-to-date totals for each employee, and indiAccounting picks up where it left off: Social Security and the other wage caps continue correctly across both systems, and each employee gets one complete W-2 for the whole year.

We check the numbers as you enter them — impossible or mistyped figures get caught on the spot — and for the one genuinely tricky part, your transition-quarter 941, the app gives you specific guidance based on your actual switch date. For the smoothest filing, switch at the start of a quarter; either way, your year-end W-2s are complete.

Reconcile against your bank statement

Tie your books to the bank the classic way: enter your statement’s closing balance, check off what cleared, and finalize only when you’re at zero. Balances carry forward automatically from one month to the next, finalized reconciliations lock so they stay trustworthy, and each one prints a clean report.

Quietly, under the hood

We also did a deep correctness pass on the payroll engine so your 941 and your W-2s always agree — both now come from a single exact wage figure per paycheck, eliminating the kind of small mismatch that triggers IRS/SSA notices. Wage-base caps were tightened so Social Security stops at exactly the right point, including for S-Corp owner-employees.

A note on filing

indiAccounting prepares your forms and e-file from the payroll you’ve recorded — they’re ready-to-file drafts, not automatically submitted returns. Give each one a look (with your accountant if you have one) before you file. You stay in control, and nothing leaves your computer without you.
